Archives Network of Alberta News
Janet McMaster, System Administrator, Archives Network of Alberta

One of the options that is available to ASA institutions is having a filtered view to their records in our databases. The advantage of this is that an institution can have a link on their web site that will direct users to a view of only their records in ANA, Alberta InSight or Alberta InWord. Users who access the filtered view have the full functionality of our databases, but are only searching the records from that particular institution. Reports can also be generated showing the number of user sessions on a monthly basis for an individual filtered view, which can be very useful information for an institution.

Two of the institutions that have already set up filtered views are the Lutheran Historical Institute and the City of Edmonton Archives. To view these examples, follow the instructions shown below:

a) Lutheran Historical Institute - From their web site at http://www.lccarchives.ca/ , select "Holdings" and then choose "Click Here to search the LHI Holdings Database." A search screen will be presented to the records of the Lutheran Historical Institute in the Archives Network of Alberta database.

b) City of Edmonton Archives - From their web site at
http://www.edmonton.ca/portal/server.pt/gateway/PTARGS_0_2_265_210_0_43/
http://CMSServer/COEWeb/city+government/city+archives/
, select "City of Edmonton Archives Records". Again, a search screen will be presented to the ANA database, but in this case, to only the holdings from the City of Edmonton Archives.

If your institution is interested in setting up a filtered view, please contact me. The first step of the process is for the institution to send me a copy of their institution's logo, in jpeg or giff format. Once I receive this, I will set up a draft version of the filtered view for the institution to review. I can tailor the background colors, etc. to for the filtered view to match the institution's web site, if the institution wants to match the "look and feel" of their own web site.

As System Administrator, my role is to respond to questions about the system, coordinate training activities, vet descriptions and process bulk uploads. If you have any questions about the Archives Network of Alberta, or wish to arrange for training, please contact me at (403) 236-3406 or jmcmast@shaw.ca .
