Executive Director / Archives Advisor's Report

The role of the Archives Advisor is to provide advice about archival procedures and practices to ASA members as well as organizations and businesses embarking upon an archival program. My fourth year as Archives Advisor has taken me to municipalities, universities, community museums and archives, corporations, and a number of not-for-profit organizations. The individuals and organizations posed questions that touched upon policy development, archival appraisal, arrangement and description, and access issues. A statistical analysis of the types of inquiries follows this report.

A major component of the advisory services program is the on-site visit. During 2001-2002, site visits were made to the following institutions: Edmonton and District Horticultural Society, Thorhild and District Museum, Ukrainian-Canadian Museum and Archives of Alberta, Mount Royal College, Jewish Archives and Historical Society of Edmonton and Northern Alberta, Spruce Grove Archives, Rocky Mountain House Museum, the Franciscan Friars, the Fort Museum of the Northwest Mounted Police (Fort Macleod), Jewish Historical Society of Southern Alberta, the Calgary Exhibition and Stampede, Camrose Railway Museum, Danish Canadian National Museum Society, Strathcona County Youth Justice Committee, Town of Vegreville, and the Vegreville Regional Museum.

In addition to providing advisory services, I undertook a variety of other projects on behalf of the ASA. These initiatives included:

  • assisting ASA committees with a variety of education, grants and CAIN-related projects
  • presenting workshops on grants and basic archival education, including the ASA's Archives Education Institute
  • attending ASA Board meetings
  • liaising with allied heritage organizations, including Museums Alberta and the Alberta Heritage Council
  • in conjunction with other ASA contractors, coordinating aspects of the ASA's ANA/CAIN project
  • coordinating a joint global assessment project for three institutional members
  • producing a quarterly column for the ASA newsletter

In June 2000, the title "Archives Advisor" was changed to "Executive Director/Archives Advisor" to reflect some additional duties added to the original position. This year, these duties included drafting contracts, attending Finance Committee meetings, producing grant reports and providing general oversight to projects undertaken by the ASA.

The coming year will bring new projects, additional site visits, and public awareness initiatives to assist in the development of Alberta's archival community. I look forward to your calls and questions and would like to thank the Board members, Committee chairs, and all the ASA members who have been so helpful during this past year.
